Web Store Integration Enhanced

AccountEdge Pro v14 now has an added option, you can use a hosted service by Shopifiy. Create a web store through Shopify and connect your web store with your AccountEdge company file.

This web store service, hosted by Shopify, is an easy and affordable way to sell your products online. You can take orders online and receive payments then sync with your AccountEdge company file. You can also create discounts and gift cards to apply to your online sales and process the orders in AccountEdge.

To create a web store

1	Open your AccountEdge company file.

2	Go to the Setup menu and select Web Store. The Web Store Setup window appears.

3	Click the Learn More button to bring you to the selected host website to create a store.

To link your web store with AccountEdge

1	Go to the Setup menu and select Web Store. The Web Store Setup window appears.

2	Enter the name of your web store in the Store Address field.

3	Click Link Web Store to link your Shopify web store account to your company file.

note : Enstore customers

If you already have a web store with Enstore that is currently linked to your company file and you choose to unlink your web store from AccountEdge you will not be able to re-link your web store to AccountEdge.

To process your web orders

1	Go to your Sales command centre and click Process Web Orders or click Sales Register and select the All Sales tab then click Process Web Orders. If you have locations selected a Select Required Fields window will appear.

2	Select the location.

3	The process will begin. If you have web sales to process a window will appear listing number of Orders, new Customers, Payments, Refunds and Cancelleations that were Successfully Processed, Successfully Processed with Warnings and Failed to Process.

4	Click Shopify Log to view details of the process, including details for warnings or failures. The latest Shopify log located in the Documents folder will display.

Note: to access this log, go to the Documents folder and click AccountEdge v13 folder and then click Shopify Logs.

5	Click OK to close the window.

Gift Cards

If you have a web store created in Shopify, you can create, sell and redeem gifts cards then export the information into your AccountEdge company file.

note : If you have a web store through Enstore

If you already have an account with Enstore for your web store, you do not have the option of selling and redeeming gift cards. You can choose to unlink your web store from AccountEdge, however you will not be able to link AccountEdge to your Enstore account again.

Sell and redeem your gift cards

1	Create the gift card item in your web store.

2	Create a sale in your web store for that gift card, when it it purchased or when a customer orders your products, they can apply the gift card to the sale.

Process the web order into your AccountEdge company file. When the sale of the gift card is imported into AccountEdge, an item for the gift card will be automatically created. The linked accounts for the item will be taken from the Default Linked Accounts assigned when setting up your web store. The amount of the gift card will be posted to a liability (holding) account until the gift card is redeemed. Once it is redeemed, it is applied to an order and shows as a full or parital payment in your company file.

Discounts applied

If you have a web store created in Shopify, you can create discounts to give to your customers. Your customers can then apply a discount to their order when payment is made in your webstore. When the orders are processed in AccountEdge, the discount will be applied to each item(s) ordered and will appear on the invoice.

Inventory Tracking

You can manage locations and item quantities for both your AccountEdge locations and your Shopify web store.

Each item can be tracked, both in AccountEdge inventory locations and in your Shopify web store. The amount of items selected will be updated in your Shopify webstore each time you sync your AccountEdge company file with your Shopify web store.

You can chose how many items you want to reserve in AccountEdge. The difference between the total number of items and the amount is reserved is displayed.

When the Track Inventory In: Shopify is selected this will also be selected in the Inventory Policy>Shopify tracks this product inventory located in the Products>Inventory & Variants setting in Shopify the next time you sync.

The Target field is used to enter the amount of items to sync with your web store, however it cannot exceed the available quantity. If the Qty field has less than 10 when the Shopify checkbox is selected, the Target field will default to 10. If the Qty is greater than 10, the target amount will default to the amount in Qty.

You also have the option to allow out of stock sales to occur in your web store.

To begin tracking inventory for Shopify

1	Go to the Inventory command centre and click Items List. The Items List window will appear.

2	Select the item and click Edit. The Item Information window appears.

3	Click on the Locations tab.

4	Select a default location for your Shopify web store. If you have used locations in your inventory a default location has already been entered. If you do not use locations this field will be blank. Click the down arrow to select or create a location for your web store.

5	Enter an amount of the inventory you have instock for this item to be reserved in the AccountEdge Reserved Qty field.

6	Select the Shopify option to Track Inventory in your web store. The Available and Target fields become available. The available field indicates the quantity that is available for Shopify.

7	Enter in the Target field the amount of items to be synced to your Shopify web store and will be displayed in Shopify’s Edit Variant>Quantity field.

note : Target field

The Target quantity cannot exceed the Available quantity. If the amount is changed in the Shopify web store and is synced with AccountEdge, it will NOT affect the quantity in AccountEdge.

Click OK.
