The Activity Slips view of the Enter Activity Slip window enables you to record detailed activity slips one at a time. When you enter activity slips using this view of the window, you can bill your customers for the time you spend performing activities, include this time as an entry on a timesheet and print accurate time billing reports.
This field automatically displays the next activity slip number available. If you choose to enter a different number in the ID # field, note that the next time you record an Activity Slip, the ID # will automatically revert to the next available AS number; the number you entered earlier will be disregarded.
Type the number of units for the activity you’ve performed. If you use the timer, or make manual timer entries, the calculated units will be entered automatically. In the Preferences window, you can choose to round the units entered using the timer.
If you want to adjust that number of units and the amount that you’ll bill the customer for, enter your adjustment in the fields on this row. If you want to bill the customer for fewer hours/units or a lesser amount, enter your adjustment as a negative number. Note that if you adjust the hours/units, the field in the second column will recalculate automatically.
These fields display the billable hours or units and billable amount for this activity slip. The field in the first column displays the billable hours/units, or the sum of the actual hours/units and any adjustment hours/units you’ve entered. The field in the second column displays the billable amount, taking into account the adjustment amount.
Click this button to start the timer. This field appears only if the activity selected in this window is billed on an hourly basis.
If you’ve entered a start time that is before the current system time, the timer will calculate the difference between the start time you entered and the current time to determine the elapsed time. For example, if you entered 8:00 AM in the Start Time field and then clicked the Start button at 9:00 AM, the timer would calculate the Elapsed Time field as 1:00:00 and would continue timing from this value.
When the timer has started, the Start button becomes the Stop button. If you want to stop the timer, click Stop. The current system time appears in the Stop Time field and the timer stops in the Elapsed Time field. The elapsed time appears in the Actual Units field (if you want to round the timer automatically, make your rounding selection in the Preferences window, which is accessible from the Setup menu).
When you click the Stop button, your current system time appears in this field. If the timer hasn’t started, you can enter a stop time in this field. The difference between the time in this field and the time in the Start Time field is the elapsed time. Whether you’ve entered time manually or used the timer, elapsed time appears in the Actual Units field (if you want to round the timer automatically, make your rounding selection in the Preferences window, which is accessible from the Setup menu).
Click this button to clear any entries in the Start Time, Stop Time, Elapsed Time and Actual Units fields. If you click this button when the timer has started, the timer will stop and the entries in the Start Time and Actual Units fields will clear.
