The Time Billing layout of the
Sales window enables you to invoice customers for activities you have performed. You can also sell items from your Items List on a time billing invoice.
Select Quote,
Order or
Invoice from the drop-down list.
This field displays the default terms for sales to this customer. If you want to change the terms for this sale, click the zoom arrow next to this field. If you want to change the terms for future sales to this customer, click the zoom arrow next to the
Customer field and then click the
Selling Details tab.
If you are using Mac OS X 10.4 or higher, you can publish this invoice to iCal by selecting this option. When you publish an invoice, a new Event is created and appears in the iCal calendar on the date when the payment is due. The Event includes the title of the transaction, transaction number, transaction date and payment amount.
If you charge tax and show each amount on the transaction as tax inclusive, select this option. the totals in the Amount column will include tax. If you want the tax amount to be added at the end of the sale, do not select this option. The totals in the Amount column will be shown as tax exclusive.
This field appears if you have selected the I Include Items on Time Billing Invoices option in the
System view of the
Preferences window.
This column displays the number of hours or units (such as kilometers or copies) for each activity slip you’re billing the customer for. If you’re entering line items manually, enter the number of hours or units of the activity (or number of items) you’re billing the customer for.
This column displays the activity number you’re billing the customer for. If you’re entering line items manually, enter the activity ID number for each activity (or the item number for each item) you’re billing the customer for.

If you selected the Use Activity Description On Invoice option in the Activity Information window for the activity, the text you entered in the Description field is displayed.

If you selected the Use Activity Slip Notes Instead of Activity Name/Description On Invoice option in the Prepare Time Billing Invoice window, the text you entered in the Notes field of the Enter Activity Slip window is displayed.

If you selected the Use Activity Description On Invoice selection in the Activity Information window for the activity, the text you entered in the Description field is displayed.

If you selected the Use Item Description on Sales option in the Item Details view of the Item Information window, the text you entered in the Description field is displayed.

If you have selected the I Include Items on Time Billing Invoices option in the
System view of the
Preferences window, and you have set up multiple item locations, this column will appear.
This column displays the total dollar amount for each line on the invoice, calculated by multiplying the amount in the
Rate field by the quantity in the
Hrs/Units fields. The final amount is rounded to the nearest cent.
If you change the amount for an activity, the amount in the Rate field is automatically adjusted to reflect the new amount.
This column displays the job number you assigned to the activity in the Enter Activity Slip window. If you’re entering line items manually, type or select the job number you want to assign.
This column is used to indicate the activities and items you want to charge sales tax on. To indicate that an activity or item is taxable, click in this column. A mark appears, indicating that the line item is taxable. You can assign a tax code to the entire transaction by entering the code in the field to the right of the
Tax field and beneath the
Tax column.
This field is only available if you have selected the I Include Items on Time Billing Invoices option in the
System view of the
Preferences window, and you have set up multiple item locations.
Type or select the method you want to use to ship the items on the invoice. You can print the method on the invoice.
This field is only available if you have selected the I Include Items on Time Billing Invoices option in the
System view of the
Preferences window, and you have set up multiple item locations.
Enter the amount you are charging to ship the items on this transaction.
If you the freight charge is taxable, click in the field next to the Freight field. If you selected
Taxed in the
Tax on Freight field in the
Selling Details view of the
Card Information window for this customer, a mark automatically appears in this field. To remove the mark, click it.
This field displays the total tax amount, based on the selected tax code. The tax code rate appears to the left of the field name. If you want to change the tax amount, click the zoom arrow next to this field. You cannot change the amount if the transaction has been recorded.
Note that changes to the tax amount are reported in the Tax Exception Review step of the Company Data Auditor.
If the customer does make a payment at the time of the sale, type or select the payment method that is used. This field doesn’t appear if you’re viewing a recorded invoice or a saved order to which at least one payment has been applied.
If the customer makes a payment at the time of the transaction and you have selected a payment method, click this button to enter additional information about the payment. If you subscribe to the Merchant Account Service, you can also authorize the payment by clicking Details.
This field displays the total of the payments and credits that have already been applied to this transaction. This field appears only when viewing recorded invoices or saved orders that have at least one payment applied to them.
Click to view all transactions relating to this sale. This button appears only when viewing recorded invoices or saved orders that have at least one payment applied to them.
Click to open the Work In Progress view of the
Prepare Time Billing Invoice window, which enables you to view a list of activity slips that haven’t been fully billed to the customer. If you want, you can add these activity slips to the sale.
Click to display the Exchange Rate window. This window displays your current currency, the Transaction Exchange Rate and the Current Exchange Rate. This button appears only if you selected the
I Deal in Multiple Currencies option in the
System view of the
Preferences window.
If you use the categories feature, type or select the category to which you want to assign this transaction. This field appears only if you selected the
Turn Category Tracking On option in the System view of the Preferences window. If you also selected the
Required option when you chose that preference, you need to select a category before you can record the transaction.
Click to choose print and preview options for this transaction. Choose:
Click to open the Transaction Journal window where you can view your Sales Journal entries.

Click to open the Sales Register window where you can view a list of your sales.
If you have created a quote, click Save Quote to save it. If you have created an order or an invoice, click
Record to save it.
