In the Security view of the Preferences window, there are a variety of options that help preserve the accuracy of your accounting records and protect your data file. Two of them, Transactions CAN'T be Changed; They Must be Reversed and Use Audit Trail Tracking, can be used separately or in combination to offer you different levels of information about changes that have been made to your data file and who made them.
Neither preference
You will collect no change information if you select changeable transactions and don't choose Audit Trail Tracking. While change information can be very useful, you may make these choices because:
Transactions CAN'T be Changed preference
If you choose unchangeable transactions, you have the original, reversed transaction to compare with the new transaction and determine what changed between them.
You cannot determine the identity of the MYOB AccountEdge user who made the reversal simply by viewing the transaction. You can find this information through transaction reports, customizing them by correctly setting the User IDs filter and including the User ID field. (To print a report showing entries identified by user IDs)
This preference is useful if your accountant requires that you maintain a strict audit trail. (Choosing changeable or unchangeable transactions)
Audit Trail Tracking preference
If you choose to use Audit Trail Tracking, various transactional, tax, accounts and system changes are recorded and can be viewed or printed in the Audit Trail report. The User ID appears for every change.
You can select this preference, thus collecting the Audit Trail Tracking information, while choosing the easier changeable transactions. You can delete transactions with the changeable selection and all deleted transactions are tracked. Reversed transactions, which you create when you choose unchangeable, are not tracked. (Changes and entries recorded by Audit Trail Tracking)
Both preferences
You can select both preferences to maximize the amount of information about changes that is available to you.
