To eFile Forms W-2 and W-3
The Select Payroll Tax Form window must be open.
- Click Saved Forms in the Select Payroll Tax Form window. (To start working on a draft payroll tax form)
- In the Saved Forms window, click the checkbox next to the draft W-2 or W-3 that you are ready to eFile. (The Saved Forms window displays every draft form that you have saved at any point in the preparation process unless you've deleted unneeded forms from the list.)
- Click View to display all your W-2 form data in the W-2 Form Builder window.
- Click eFile at the top of the W-2 Preparer.
- If any fields on the W-2 need your attention, the corresponding columns will be highlighted in red. Use the Link Setup window to map payroll categories to corresponding fields on the W-2. You will not be able to eFile your W-2s until you have provided all missing information. (To link columns in the W-2 Preparer to boxes on Form W-2)
- When all of your W-2s are ready for processing, click Print to begin printing your records copy ("My Copy") of each W-2. Then click Next Step.
Important:
You must print Forms W-2 and W-3, and 1099 and 1096, before closing a payroll year
- Click the eFile button to display the "Select W-2 eFile Options" window.
- Use the radio buttons at the bottom of the "Select W-2 eFile Options" window to specify which copies of the W-2 you want to eFile:
- If you choose Federal, Form W-2, Copy A (the "Red" copy) and Form W-3 will be submitted to the Social Security Administration. Click OK and go on to Step 13, below.
- If you choose State, Copy 1 will be submitted to the appropriate state offices. Click OK and continue with Step 9, below.
- If you choose Federal/State, Form W-2, Copy A (the "Red" copy) and Form W-3 will be submitted to the Social Security Administration; Copy 1 will be submitted to the appropriate state offices. Click OK and continue with Step 9, below.
- If you choose All:
All employee copies of Form W-2 (Federal Copy B, Employee Copy C, two copies of State/Local Copies 2, and the Employee Notice) will be sent to each employee for filing with their tax returns.
Copy D will be sent to you at the employer address entered on the form.
Copy 1 will be submitted to the appropriate state offices.
Copy A (the federal "Red" copy) of each Form W-2 will be submitted to the Social Security Administration, along with Form W-3. Click OK and continue with Step 9, below.
- If you chose State, State/Federal or All in step 8, you will be prompted to indicate whether your employees need to file copies of Form W-2 with their state governments. Indicate the states in which employees must file Form W-2 by clicking in the boxes to the left of the state names. Click Continue when you've checked all the applicable states.
- If alternate forms are available for filing in certain states, you will be notified that this is the case. Highlight the forms that you need to use and click OK to display state copies of Form W-2 forms in the Payroll Form Viewer.
- If any fields on required state forms need your attention, these fields will be highlighted in red in the Payroll Tax Form Viewer. Type the missing information directly into each red field on the form. Use your keyboard Tab key to move between red fields (or click in each red field). You will not be permitted to eFile any forms until you have entered all required information.
- When your W-2 and all related forms are complete and ready to file, click the eFile button at the top of the Payroll Form Viewer window. A "Form Complete" notice will appear. Read the notice carefully to understand all of the requirements for completing and eFiling W-2s and related forms.
- If you are certain that the forms you've just completed meet all requirements, click Agree and go on to step 12.
- If you need to double-check your entries on any of the forms you've just completed, click Double Check to return to the Payroll Form Viewer window, where you can review your entries and change them if necessary. When you've finished double-checking your forms, click Agree.
- When you're ready to eFile your W-2 and all related forms, click Next Step, then click the eFile button again.
- Enter your MYOB eFile User ID and Password in the corresponding fields of the Aatrix eFile Login window.
Note: You need Internet access to perform certain payroll forms tasks
- Click Login to enter the online Aatrix Forms eFile System.
- If any required registration information is missing or has changed, you must enter it in the eFile Setup window before continuing.
- Enter your eFiling User Name and Password again and click Login to enter the Aatrix eFile System.
- Enter your credit card information in the corresponding fields.
If don't want to retype your credit card information every time you eFile a payroll tax form, mark the Remember CC Info box. The Payroll Tax Forms system will insert your credit card information in the correct fields automatically the next time you eFile.
- The billing information you entered when you enrolled for eFiling is displayed so that you can verify and change it if necessary. If you need to change any of this information, enter your changes in the appropriate fields.
- Click OK to begin eFiling your form. The form will be sent to the eFile server, and you are returned to the Select Payroll Tax Form window.
When your form has been successfully received and processed, you will receive email confirmations that these processes have been completed.

Contact MYOB eFile Support if you don't receive filing confirmations in a timely manner
