Converting, changing, deleting and reversing purchases


In MYOB AccountEdge, purchases can be easily changed, deleted or reversed. Quotes and orders can be changed or deleted at any time. The grouping of line items on a purchase also can be changed by inserting or deleting a line, or by inserting a header or subtotal line.

If you enter a quote or an order into AccountEdge, you can easily convert it to a bill once you're ready to pay your vendor. A quote can be changed into an order or bill. An order can only be changed to a bill. In MYOB AccountEdge, this is also known as changing the status of a purchase.

Changeable or unchangeable

Whether you can change, delete or reverse a bill depends on how you set up AccountEdge. An important point to consider is whether your purchase is a changeable transaction or unchangeable transaction.

If a purchase is changeable, you can make changes to it or delete it altogether from your ledger. Keep in mind, if you activated the Use Audit Trail Tracking preference, all deleted transactions are recorded. (Changes and entries recorded by Audit Trail Tracking)

Unchangeable transactions work differently. If you reverse an unchangeable purchase, the effects of your original purchase will no longer be part of your ledger; however, a record of the reversed purchase -- called a reversing transaction -- will remain. Then, if you want, you can enter a new, correct transaction to replace the transaction you reversed. (Choosing changeable or unchangeable transactions)

Deleting recurring transactions

When you delete a recurring transaction, it is deleted only from your list of recurring transactions. Any transactions already recorded using a recurring transaction that was deleted won't be affected.

Note:  Quantities in the Received column on purchases aren't saved on recurring transactions

Alert messages
