Enter Activity Slips window - Single Slip Entry view
Employee |
Enter the name of the employee who performed the activity for which you’re creating the activity slip. If a vendor performed the activity, you can enter a vendor card in this field. You also can click the search icon and choose the card from the list that appears. To view the card you chose in the Card Information window, click the zoom arrow. |
Slip ID# |
Enter the number you want to assign to this activity slip, or accept the default slip ID number. We recommend that you use the default activity slip ID number, because it ensures that you don't use duplicate numbers, which may cause confusion in your recordkeeping. |
Date |
Enter the date of this activity slip. You can enter any date in this field, even if it's from a future or prior fiscal year. |
Customer |
Enter the name of the customer for whom you performed the activity. You can also click the search icon and choose a customer card from the list that appears. To view the card you chose in the Card Information window, click the zoom arrow. You must enter a customer name if you’re creating an activity slip for a chargeable activity. |
Activity |
Enter the ID number of the activity for which you’re creating this activity slip. You also can click the search icon and choose the activity from the list that appears. |
Units |
Enter the number of units for the activity you’ve performed. You can enter a negative number, if you need to. You can specify an activity’s unit of measurement using the Profile view of the Activity Information window. Units are entered automatically if you’re using the timer at the bottom of the window, even if you make manual timer entries. In the Preferences window, you can choose to round the units entered using the timer. |
Rate |
Enter the rate you want to charge for one hour or unit of the activity or accept the default entry. The default entry that appears here depends upon your entry in the Rate field of the Activity Information window for this activity. This field appears for chargeable activities only. |
Job |
If you want to allocate this activity slip to a job, enter the job number in this field. You can also click the search icon and choose the job from the list that appears. If you want to view the job you entered in the Edit Job - Job Information window, click the zoom arrow. This field appears for chargeable activities only. |
Notes |
Enter any notes you want to record with this activity slip. You can include your notes on time billing invoices, if you wish. |
Unit of Measurement |
The field on the left displays the units of work you entered in the Units field, using the unit of measurement you've set up for this activity. The value of this work is displayed as a dollar amount on the right. The right field displays the units you entered as a dollar amount for chargeable activities only. |
Adjustment |
Adjustments are useful for marking up or marking down the activities for which you bill your customers. Enter any adjustment that you want to make to this activity slip to arrive at the billable units or billable amount you’ll include on a time billing invoice. Enter your adjustment hours or units in the left field or an adjustment amount in the right field. The field you don’t use will display a calculated entry automatically. If you want to adjust an activity slip to bill the customer for fewer hours/units or a lesser amount, enter your adjustment as a negative number. |
Billable |
These fields display the billable hours or units and billable amount for this activity slip. The left field displays the billable hours/units, or the sum of the actual hours/units and any adjustment hours/units you’ve entered. The right field displays the billable amount, of the sum of the actual amount and any adjustment amount you’ve entered. |
Already Billed |
If you’ve billed a portion of the billable amount of this activity slip on a time billing invoice you created using the Prepare Time Billing Invoice window, the amount will appear in these fields. The entry is expressed in hours/units and as a dollar amount. If you created a time billing invoice for this activity slip manually, you can enter the amount you’ve already billed in the left field as hours/units or in the right field as a dollar amount. |
Left To Bill |
This field displays the amount left to bill for this activity slip in the left field as hours/units and in the right field as a dollar amount. |
Start/Stop button |
Click this button to start the timer. If you haven’t entered a start time in the Start Time field, your current system time appears in the Start Time field and the timer begins ticking in the Elapsed Time field. If you’ve entered a start time that is before the current system time, the timer begins ticking from the difference between the start time you entered and the current time. For example, if you entered 8:00 AM in the Start Time field and then clicked the Start button at 9:00 AM, the timer would begin ticking in the Elapsed Time field at 1:00:00. When the timer is ticking, the Start button becomes the Stop button. Click the Stop button to stop the timer. The current system time appears in the Stop Time field and the timer stops ticking in the Elapsed Time field. The elapsed time appears in the Actual Units field. You can choose to round this entry automatically in the Preferences window. The Stop button becomes the Start button again. You can click the Start button to resume timing the activity. This field appears only if the Activity selected in this window is billed on an hourly basis (the Type field in the Profile view of the Activity Information window was marked as Hourly). |
Start Time |
When you click the Start button to start the timer, your current system time appears in this field. If the timer isn’t ticking, you can enter a start time in this field. This field appears only if the Activity selected in this window is billed on an hourly basis (the Type field in the Profile view of the Activity Information window was marked as Hourly). |
Stop Time |
When you click the Stop button to stop the timer, your current system time appears in this field. If the timer isn’t ticking, you can enter a stop time in this field. The difference between the time in this field and the time in the Start Time field is the elapsed time. Whether you’ve entered time manually or used the timer, elapsed time appears in the Actual Units field. You can choose to round elapsed time in the Preferences window. If you stop the timer and then click the Start button to resume timing an activity, the entry in this field is cleared. A new stop time will appear when you click the Stop button again. This field appears only if the Activity selected in this window is billed on an hourly basis (the Type field in the Profile view of the Activity Information window was marked as Hourly). |
Clear button |
Click this button to clear any entries in the Start Time, Stop Time, Elapsed Time and Actual Units fields. If you click this button when the timer is ticking, the timer stops and the entries in the Start Time and Actual Units fields are cleared. This field appears only if the Activity selected in this window is billed on an hourly basis (the Type field in the Profile view of the Activity Information window was marked as Hourly). |
Elapsed Time |
When you click the Start button to start the timer, elapsed time appears in this field as it progresses or "ticks." When you enter a start time and stop time manually, the difference between those entries appears in this field. This field appears only if the Activity selected in this window is billed on an hourly basis (the Type field in the Profile view of the Activity Information window was marked as Hourly). |
Record button |
Click this button to record the activity slip you’ve created or changed in this window. |
OK button |
If you’re viewing an activity slip you’ve recorded previously, you can click this button to close the window. |
Cancel button |
Click this button to clear any entries you’ve made and close the window. |
